The Polish retail landscape and what it means for merch
Poland is one of the largest retail markets in Central Europe. The country has more than 350,000 registered retail outlets, of which approximately 38,000 are larger-format stores operated by national and international chains. The grocery segment is dominated by Biedronka (Jeronimo Martins, more than 3,500 stores), Lidl Polska (over 800), Kaufland Polska (around 230), Netto Polska (around 200), Carrefour Polska (around 130), Auchan Retail Polska (around 100), Stokrotka (around 600), Lewiatan (around 3,200 franchise stores), Delikatesy Centrum and ABC. The fashion segment is led by LPP (Reserved, Cropp, House, Mohito, Sinsay — more than 1,800 stores in Poland and a presence in over 40 markets), CCC (more than 1,000 stores), Inditex brands (Zara, Bershka, Pull&Bear, Massimo Dutti, Stradivarius, Oysho), H&M, TK Maxx, Zalando and Answear. The DIY segment is dominated by Castorama (Kingfisher), Leroy Merlin, OBI, Bricomarché and Jula. Consumer electronics belongs to Media Expert, RTV Euro AGD, Media Markt, x-kom and Morele.net.
The mechanics of merch in this market are distinctive. Loyalty programmes (programy lojalnościowe) are the workhorse of customer retention. Biedronka's "Moje Biedronka" card is the largest with over 6 million active users; LPP runs the Reserved Club; CCC runs the CCC Club; Lidl runs the Lidl Plus app with over 7 million Polish users; Żabka runs the Żappka app for the convenience-store chain with over 10,000 stores; Rossmann runs the Rossmann Club; Empik runs the Empik Premium programme. Each programme uses branded merchandise as a tier-gift and as a milestone-reward mechanism — typically a thermal mug, a power bank, a notebook, a tote, a picnic blanket or a beach towel. The merch must look premium enough to feel like a "real" gift, ship efficiently to over a million users per quarter and survive the wear-and-tear of daily use.
Store openings (otwarcia sklepów) in Poland are major events. The opening of a new Biedronka, a new Reserved flagship or a new CCC store typically generates a regional PR campaign with branded merchandise for the first 500–2,000 customers, free coffee, balloons, opening-day discounts and a press preview the previous evening. The merch kit typically includes a branded tote, a T-shirt, a small gadget (bottle, notebook, pen) and a paper coupon. Multi-location rollout requires dispatch from a central warehouse to individual stores, with timing aligned to each store's opening schedule.
Product mix that works for Polish retail
The base layer is a programme of branded gifts at three price tiers — entry (PLN 5–15), mid (PLN 15–40), premium (PLN 40–120). The entry tier covers pens, basic notebooks, mugs, stickers and small giveaways — typically used for opening-day giveaways, sweepstakes prizes and free-sample-with-purchase incentives. The mid tier covers thermal bottles, tote bags, T-shirts, caps and notebooks — the workhorse of loyalty-programme tier gifts. The premium tier covers power banks, premium notebooks, leather accessories, audio products and gift sets — reserved for VIP-tier loyalty members, store-opening VIP guests and corporate B2B gifting.
For grocery chains the most-requested items are reusable shopping bags (typically non-woven polypropylene or RPET, with screen print or DTF branding), thermal bags for frozen goods, collapsible silicone coffee cups, water bottles and reusable produce bags. For fashion retail the priorities are shopping bags (large format, FSC paper or RPET, often with ribbon handles), garment bags, tissue paper, branded stickers and small accessories (socks, scarves, hair ties) that complement the collection. For consumer electronics the focus is on premium packaging — magnetic-closure boxes with debossed logo, foam inserts for the device, a small branded accessory (USB-C cable, cleaning cloth, screen protector). For DIY the priorities are durable workwear — branded work gloves, hi-vis vests, headwear, water bottles and notebooks built for the work site.
Point-of-sale (POS) and in-store activations drive a different category mix — disposable cups, sampling utensils, branded balloons, A-board signage and printed collateral (flyers, leaflets, recipe cards). For Black Friday and Cyber Monday campaigns the merch typically combines a brand-led gift (tote, mug) with a campaign-specific promotional code. For loyalty-programme app downloads the merch often includes a small item (a sticker pack, a pin, a wristband) shipped with the first qualifying online order.
Multi-location rollout and dispatch-by-store
The biggest operational difference between retail merch and corporate merch is volume per SKU and locations per drop. A typical mid-tier loyalty-programme gift (e.g. 100,000 thermal mugs across Poland over three months) breaks down into 800 SKUs and 1,200 dispatch destinations. The production plan covers blank sourcing, decoration (screen print for mugs and bottles, DTF for textiles, UV print for hard goods), assembly, packaging, kitting and palletising per store.
Our dispatch-by-store programme runs from the central Warsaw hub. Each store receives a pre-packed kit with the agreed SKU mix, packed in master cartons labelled with the store number and store address. The kit ships via InPost Paczkomaty (for stores with parcel lockers), InPost Kurier (for direct-to-store delivery), DPD Polska or Poczta Polska. Lead time from production completion to last-store delivery is 3–5 working days for a 1,000-store network.
For grocery chains we also support direct delivery to regional distribution centres (RDCs) — Biedronka's RDC in Łódź, Stryków, Głowno and Mszczonów; Lidl Polska's RDC in Tarnowo Podgórne, Bydgoszcz and Legnica; Kaufland's RDC in Bielany Wrocławskie. The RDC distributes the merch to individual stores via the chain's existing logistics network, which reduces our last-mile cost and improves timing reliability.
E-commerce unboxing and the unboxing experience
E-commerce is now more than 30% of Polish retail by value, with Allegro, Amazon.pl, Zalando, Answear, Limango, Eobuwie and the LPP and CCC online stores taking the largest shares. Unboxing experience has become a competitive lever — the package itself is the first physical brand impression, and the merch inside the package is the surprise that drives social-media shares and word-of-mouth.
For e-commerce unboxing we produce: branded mailer boxes (FSC-certified corrugated cardboard with two-colour print), tissue paper with logo pattern, sticker seals, thank-you cards, and the merchandise itself. The merch ranges from a single small item (a sticker pack, a seed-paper bookmark, a tea bag sample) to a multi-piece bundle (a tote, a notebook, a mug, a coupon for the next order). For premium brands (Answear.com, Empik Premium, Allegro Smart+) the unboxing kit often includes a higher-value item — a phone stand, a small leather accessory, an aromatherapy candle, a premium chocolate bar.
The logistics for e-commerce unboxing run on a different clock from loyalty programmes. Each order is a one-off, so the merch kit must be packed in-line with the order, not pre-bundled. We support two fulfilment modes: (1) the brand ships products from its own warehouse and we ship the merch in bulk to that warehouse for in-line kitting; (2) the brand ships products to our hub and we co-fulfil with merch kitting on the same packaging line. For Allegro Smart! orders the typical turnaround is same-day shipping from the brand's warehouse; for premium subscription boxes (like BookBox, Petit Box, Original Box) the cycle is monthly, with packaging deadline locked two weeks before the dispatch date.
Pricing, MOQ and lead times for retail programmes
Pricing is quoted in PLN or EUR excluding VAT. MOQs: 50 units for standard categories, 30 units for premium, 100 units for multi-method branding or multi-SKU bundles, 1,000 units for loyalty-programme-scale runs. Volume discounts reach up to 35% at 5,000+ units and up to 50% on annual framework agreements. For multi-store rollouts (typically 100+ destination addresses) we apply an additional dispatch fee per location to cover kitting, packing and labelling.
Standard production lead time is 7–10 working days for in-stock blanks, 14–18 for custom-dyed blanks, 25–30 for cut-and-sew. Rush at +35% compresses to 3–5 days for in-stock blanks. Multi-store dispatch adds 3–5 working days depending on the network size.
Invoicing follows KSeF (Krajowy System e-Faktur) — mandatory from 2026 — at 23% VAT. For e-commerce orders shipped to consumers (B2C) the invoice is simplified and not KSeF-issued; we deliver it as a paper receipt with the order. For B2B orders (corporate clients, loyalty-programme tier-gift fulfilment under contract) we issue a KSeF invoice with detailed line items and unit costs.
