The internal framework we follow for our design process in Poland: stages, checkpoints, ownership and what a buyer can expect at each gate, with EUR pricing ex-VAT and 23% VAT via KSeF.
Stages and ownership
The methodology breaks into discovery, brief lock, spec, sourcing, sampling, production, QC, dispatch and post-mortem. Each stage has a named owner on our side, a clear deliverable (document, sample, photo set, signed-off PDF) and a checkpoint the buyer signs off. Stage-by-stage transparency means there are no surprises at the end — questions get raised at the right point, not after dispatch from our Warszawa hub.
Documents, gates and SLAs
We issue a written spec, sample sign-off, production schedule and final QC report on every project. Internal SLAs: discovery response within 1 business day, formal quote within 2–3 days for in-catalogue items, longer for custom sourcing. Each gate is timestamped. Pricing is always in EUR ex-VAT; 23% VAT is invoiced via KSeF. Where reverse charge applies for valid intra-EU VAT numbers, we apply it automatically.
How it shows up in the quote — Poland
The methodology is baked into pricing — there are no hidden retainers for stages we already run by default. The quote shows unit price, setup, decoration, freight from Warszawa and 23% VAT applied separately. Volume tiers at 50/100/250/500/1000+ units, lead times 5–10 working days after artwork approval, rush 48–72h at 20–30% surcharge. All invoices issued via KSeF.
FAQ
Who owns each stage?
A named account lead from our side owns the buyer relationship; a production lead owns the factory floor; a QC lead signs off shipment.
What do I sign off at each gate?
Brief lock, written spec, physical or photo sample, pre-production proof, and a final QC report before dispatch from Warszawa.
How is VAT handled?
23% VAT applied separately, invoiced via KSeF. Intra-EU reverse charge applied where eligible.
Can the methodology adapt to our internal procurement process?
Yes — we map our stages to your gates (RFP, PR/PO, GRN, invoice) so internal compliance is preserved without slowing delivery.
Do you ship outside Poland?
Yes — EU-wide via DHL Express plus local couriers; customs cleared from our Warszawa hub.
