Corporate merch for events, conferences and exhibitions in Poland
A practical guide for Polish event organisers, conference producers, exhibition operators, association-run events and corporate event teams. We cover delegate kits, booth merch, sponsor packs, attendee giveaways, speaker and VIP kits, and event-staff apparel — with the logistics discipline and the multi-vendor coordination the events sector demands.
The Polish events and exhibitions landscape
Poland is one of the largest exhibition markets in Central Europe. The country hosts more than 300 trade fairs and exhibitions annually, with the largest venues being Ptak Warsaw Expo (one of the largest exhibition centres in Europe), EXPO Kraków, the Poznań International Fair (Międzynarodowe Targi Poznańskie), AmberExpo Gdańsk, Targi Kielce, the International Congress Centre in Katowice (MCK), the ICE Kraków Congress Centre, and the EXPO Łódź. Major recurring events include the Impact Congress, the European Economic Congress (EEC), the Economic Forum in Karpacz, the ITM Industry Europe in Poznań, the Warsaw Industry Week, the MSPO Kielce defence exhibition, the EnoExpo wine fair, the Book Fair in Kraków, the Polagra food fair, the Poznań Motor Show, the Tour Salon tourism fair, the IT Future Expo, the Retail Expo, the RetailTec, the Smart City Expo, the Logistics & Warehousing Fair, the Eco-Trends Fair, and many sector-specific events.
The Polish association-run conference calendar is also substantial. Industry associations host annual conferences (e.g. the Polish Bank Association, the Polish Insurance Association, the Polish Chamber of Commerce, the Polish IT Association), academic conferences run by universities and PAN institutes, professional conferences (medical, legal, engineering), and government-hosted events. Each requires a delegate kit and supporting merchandise.
The merch for events splits into three streams. Delegate kits — materials given to each registered attendee at check-in. Booth merch — items sold or given away by exhibitors at the booth. Event-staff apparel — uniforms for the event organiser's team. Each stream has its own production discipline, and the merchandise must align with the event's brand book and the broader conference programme.
Delegate kits — design and production
Delegate kits are the most visible merchandise at any event. The standard kit includes: a name badge and lanyard, a tote bag or document folder for delegate materials, a notebook and pen for note-taking, a USB drive with the conference proceedings (optional), a branded mug or water bottle for coffee breaks, a small giveaway (sticker pack, fridge magnet, pen, badge), and sometimes a welcome gift (a small chocolate, a fruit, a branded stress ball).
For larger events (5,000+ delegates) the kit is produced at scale, with multiple kit variants (e.g. a premium kit for VIP delegates and a standard kit for general delegates). The Impact Congress, the EEC, the Book Fair in Kraków, and the Warsaw Industry Week have all run multi-tiered delegate kits. Production volumes typically run into thousands of kits per event.
The kit is typically assembled (kitting) at the venue or at our Warsaw hub 48 hours before the event opens. For multi-day events the kit is replenished at the registration desk each morning. Production lead time for the kit is 14–21 working days from artwork sign-off, with rush at +35% compressing to 7 days.
Booth merch for exhibitors
Exhibitor booths at Polish trade fairs run their own merchandise programmes. The standard booth kit includes: a tablecloth (with the exhibitor's logo and brand colours), a banner (roll-up or pop-up), a backdrop (modular or printed fabric), a brochure stand, branded giveaways for visitors (tote bags, T-shirts, caps, pens, notebooks, mugs, USB drives, branded stress toys), and a sales kit (business-card holders, sample packaging, branded shipping bags).
For larger booths (typically those of major sponsors and exhibitors at IMPACT, EEC, MSPO, ITM) the merchandise is more elaborate: a custom-designed booth environment, a video backdrop, branded interactive elements (touchscreens, AR experiences), branded giveaways at tier levels (small giveaway for general visitors, premium giveaway for qualified leads, top-tier premium for VIP guests).
Booth merchandise is typically shipped to the venue 2–3 days before the event opens, with stand-drop coordinated with the venue's logistics team and the event organiser's setup crew. Ptak Warsaw Expo, EXPO Kraków, the Poznań International Fair and AmberExpo Gdańsk have well-developed setup logistics with dedicated freight elevators, setup windows and security protocols.
Sponsor packs and VIP kits
Event sponsors receive tiered benefits, and the merch is a significant component. Sponsor packs typically include: a thank-you acknowledgement on the event signage, the event's marketing materials (logo placement, social-media acknowledgement), a delegate-list access, and a tiered gift set (typically a leather portfolio, a fountain pen, a branded notebook, a premium object from the event's region or sector).
For VIP delegates (speakers, chairs, board members, invited guests) the VIP kit is presented at check-in or at the speaker dinner. The kit typically includes: a premium notebook (A5 hardcover, leather-bound or fabric-bound, debossed with the event's logo), a premium pen, a personalised name badge, a branded scarf or tie, a small premium gift (a candle, a fragrance sample, a piece of Polish art or design), and an invitation to the speaker dinner or VIP reception.
For multi-sponsor events the merchandise is coordinated across all sponsors and the event organiser. Each sponsor's brand appears at the agreed placement (typically a logo on a sponsor-branded item, a co-branded item with the event and the sponsor, or a sponsor-only item distributed in the sponsor's branded zone).
Event-staff apparel
Event staff (registration, wayfinding, technical support, F&B, security coordination) wear matching apparel. The standard kit includes: a T-shirt or polo (in the event's signature colour, with the event's logo on the chest and the staff role on the back), a name badge with the staff member's name and role, a branded cap or beanie (for outdoor events), a hi-vis vest (for traffic-direction or parking staff), and a small branded kit (a torch, a multi-tool, a notebook).
For larger events (10,000+ delegates) the staff apparel is produced at scale, with role-specific colour coding (e.g. registration in blue, F&B in green, technical support in black). The apparel must withstand multi-day wear, industrial laundering between event days, and the rigours of long shifts.
