A buyer's guide for sustainability and procurement teams in Poland — which certifications to demand, how to verify them and how to make sure the merch in your CSRD report is actually what you ordered.

Why certifications matter — the auditable difference

"Eco-friendly", "green", "sustainable" and "natural" are marketing words with no legal meaning. CSRD, EU Green Claims Directive (2024+) and most national consumer-protection rules in Poland require quantifiable, verifiable claims tied to recognised certificates. The difference between "made from recycled materials" and "made from 65% post-consumer recycled polyester (GRS certificate 12345)" is the difference between a fine and a defensible claim. Always require the certificate number on the PO, the invoice and the inner label of the merch itself.

The certifications that matter most for merch

GOTS (Global Organic Textile Standard) — the gold standard for organic cotton, wool and other natural fibres; covers chemicals, social criteria and supply-chain traceability. Required on premium "eco T-shirt" claims.

OEKO-TEX Standard 100 — textile-safety certification confirming no skin-harmful substances. The baseline expected on any apparel handed to employees or customers in the EU.

FSC (Forest Stewardship Council) — sustainable forestry certificate for paper, notebooks, wooden gift boxes and bamboo. FSC Mix, FSC 100% and FSC Recycled are the three classes; FSC 100% is highest.

GRS (Global Recycled Standard) — tracks recycled content in polyester, nylon and other synthetics. Required for credible rPET water bottles, recycled-yarn tote bags and recycled-shell jackets.

BPA-free / phthalate-free — material safety on hard goods (water bottles, lunch boxes, toys). EU 1935/2004 food-contact compliance documentation should accompany any drinkware.

EU Ecolabel — voluntary multi-criteria EU label covering full lifecycle impact. Rare on merch but increasingly demanded by public-sector buyers in Poland.

Sustainable merch categories that actually work

GOTS organic cotton T-shirts and totes (200-220 GSM minimum — under that, fabric is too thin and reduces lifetime). OEKO-TEX recycled polyester hoodies. FSC-certified A5 notebooks with recycled-paper inner block and recycled-leather covers. rPET water bottles (from recycled plastic bottles). Bamboo or wheat-straw pens. FSC bamboo USB drives. Recycled-paper kraft gift boxes. Cork notebooks and laptop sleeves. Recycled-rubber phone cases. Glass water bottles (the only truly closed-loop drinkware). Stainless steel bottles with bamboo or recycled-plastic lids.

Categories to avoid in any "sustainable" claim: virgin polyester apparel, plastic pens (even "recycled" PP pens release microplastics), aluminium bottles with epoxy liners, vegan leather (most is PU plastic), promotional balloons.

Poland procurement and reporting notes

Pricing is in EUR ex-VAT. VAT 23% is added; from 2026 invoices route through KSeF (Krajowy System e-Faktur), the Polish national e-invoice platform under the Ministry of Finance. Sustainable merch typically commands a 15–35% premium over conventional equivalents — budget accordingly. FAQ — sustainable corporate merch in Poland

Is "recycled cotton" better than organic cotton?

Different goals. Recycled cotton (GRS) reduces water use; organic cotton (GOTS) reduces pesticide use. Many premium brands now blend 50/50 to combine benefits.

How can I verify a certificate is real?

Every GOTS, OEKO-TEX, FSC and GRS certificate has a unique number traceable on the certifier's public database. Always cross-check before signing off.

What about CO₂ offsetting?

Offsets are a last resort, not a first claim. Reduce first (material choice, EU production, sea freight), then offset only the residual. Poland buyers increasingly reject offset-only claims.

Can sustainable merch still be branded with screen-print?

Yes — water-based and PVC-free inks (compliant with GOTS Annex E) produce excellent screen-prints with full Pantone fidelity on organic cotton.

How do I include this data in our annual report?
